How we helped a large secondary academy clear 64 obsolete desktop PCs and laptops securely during the summer holidays, meeting strict WEEE regulations and GDPR requirements.

Project Overview

Manchester Academy was undergoing a major digital infrastructure upgrade over the summer break. To prepare for the installation of new computer suites, the academy's IT administration required the rapid removal and certified disposal of 64 outdated workstations, monitors, and laptops.

Clearcycle IT was appointed to handle the entire clearance process, guaranteeing secure data destruction, full WEEE compliance, and an environmentally responsible outcome.

The Challenge

The school's clearance presented two distinct challenges:

  • Tight Summer Window: The obsolete computer suites had to be fully cleared and swept clean in under three days. This was necessary to allow the school's internal team to repaint the rooms and run networking cables before the new term commenced.
  • Security & DBS Clearance: Because the collection occurred on school grounds where some staff and summer school students were present, the academy's safeguarding policy mandated that all on-site collection personnel hold full, valid DBS background checks.
  • Data Protection (GDPR): The retired workstations contained legacy school records, student credentials, and staff work files. Every storage drive required verified sanitisation to protect individual privacy and maintain compliance.

The Solution

Clearcycle IT engineered a tailored school disposal plan to meet these requirements:

  1. DBS-Checked Crews: We assigned a dedicated three-person team, all holding active Enhanced DBS checks, to execute the on-site collection.
  2. Tracked Loading: Using tracked vehicles, the team cleared the suites on the second floor of the building. The loader crew carefully catalogued every device by manufacturer, model, and serial number during loading.
  3. Data Sanitisation: All hard drives were securely transported in locked cages to our facility. Each storage drive was sanitized using industry-standard software to HMG Infosec standards. Devices with failing sectors were physically shredded.

The Results & Impact

The project was delivered on schedule and with absolute security:

  • Term Readiness: The classrooms were fully cleared and swept clean in less than 24 hours from the collection start, leaving ample time for the school upgrade installation.
  • 100% WEEE Compliance: An official Certificate of Destruction (CoD) and a detailed serialization audit report were delivered to the academy bursar within 72 hours, completing their regulatory obligations.
  • Zero Landfill: 100% of the metals, plastics, and components from the decommissioned hardware were recovered and recycled, achieving zero waste to landfill.
