How we decommissioned and recycled 8 blade server racks and 45 thin client terminals across two campus locations for Midlands College, achieving WEEE compliance.

Project Overview

Midlands College was executing a campus-wide server consolidation and moving to a cloud-hosted thin-client virtual desk environment. This left their main server facilities with 8 heavy blade server racks and 45 thin client desks redundant across two separate campus sites in Birmingham.

The college group required a highly coordinated ITAD service to securely dismantle, remove, and recycle the infrastructure in accordance with UK WEEE directives.

The Challenge

Decommissioning server hardware and managing multi-site school collections carries several unique hurdles:

  • Complex Server Dismantling: The blade server racks were bulky, heavy (exceeding 300kg each), and situated in restricted-access basement rooms. Dismantling them required experienced server technicians to disconnect power units and extract the rails safely.
  • Multi-Campus Coordination: The collections had to be executed concurrently across two distinct campuses located on opposite sides of Birmingham to match the university's technical maintenance schedule.
  • Rigid Environmental Metrics: As a public sector college, they were required to demonstrate a minimum of 95% material recovery, showing clear documentation of how metals and plastics were sorted.

The Solution

Clearcycle IT put in place a comprehensive multi-site decommission plan:

  1. Technical Server Decommissioning: We deployed a specialized server decommissioning team equipped with heavy lifting gear to safely extract and dismantle the server blades. All hard drives were catalogued on-site before transport.
  2. Synchronized Transport: We dispatched two loading crews to both campuses simultaneously, ensuring that all 45 thin client desks, monitors, and cabling accessories were loaded within a single day.
  3. Advanced Sorting & Processing: The dismantled server units were routed directly to our recycling centre, where they were separated into high-value copper, steel, and electronic component streams for specialized processing.

The Results & Impact

The project was completed efficiently with excellent results:

  • Zero Class Disruption: The multi-campus clearance was fully completed over a single weekend with zero downtime or disruption to student classes and administrative networks.
  • 98% Materials Recovery: By systematically dismantling and separating the complex metallic and plastic components, Clearcycle achieved a 98% raw material recovery rate.
  • Complete Compliance Documentation: Full WEEE compliant waste transfer notes and data destruction certificates were generated and emailed to the college administration team on Monday morning.
