Project Overview
TechLaw UK, a major corporate law firm, was relocating their headquarters in Central London. As part of the move, they were decommissioning their legacy desk setups, which left over 120 dual-monitor mounts, screens, and desktop base units redundant.
With strict corporate liability policies and GDPR data compliance requirements, they selected Clearcycle IT to provide a secure, audited, and seamless WEEE clearance solution.
The Challenge
Corporate relocations in city centres present complex operational hurdles:
- Confidential Client Data: The servers and workstation hard drives contained sensitive litigation records, proprietary corporate filings, and personal identifying information (PII). A breach of this data would carry substantial financial and reputational risk.
- Strict Logistics Deadlines: The landlord of the office building had mandated that the clearance be finished over a single weekend. All equipment had to be loaded and transported outside of weekday congestion hours, with zero disruption to neighboring commercial tenants.
- Environmental Reporting: TechLaw UK operates under strict corporate social responsibility (CSR) guidelines, requiring detailed metrics on the recycling or reuse rate of all discarded hardware.
The Solution
Clearcycle IT designed a secure relocation clearance workflow:
- On-Site Data Custody: Before moving any hardware, our data security team extracted the hard drives from all workstations and servers. The drives were scanned on-site, double-verified against the firm's asset register, and locked in tamper-evident security containers.
- Weekend Fleet Loading: We deployed two secure vehicles with GPS tracking and an experienced corporate loading crew on a Saturday morning. The crew cleared all desks, monitors, cables, and servers, completing the loading before Sunday afternoon.
- Physical Destruction: The locked drive bins were transported to our shredding facility, where the media was destroyed using industrial shredders, reducing the drives to 20mm fragments.
The Results & Impact
The move was completed on time, meeting all compliance standards:
- Punctual Handback: The office floor was handed back to the landlord in a clean, empty state ahead of the Monday morning deadline, preventing lease penalty fees.
- Audit Readiness: A complete serialization audit log and official Certificate of Destruction (CoD) were issued to the firm's compliance team within 24 hours, ensuring they were ready for their internal audit.
- Circular Economy: All 120+ monitors were cleaned, tested, and refurbished for secondary markets, extending their lifecycle, while non-functioning equipment was raw-material processed with zero waste sent to landfill.
"Complete compliance. The serialised database report made our audit a breeze."
